The hierarchy should be understandable to the teams that work in the location and stable enough to survive changes in staff or suppliers. Consistent names reduce ambiguity when people discuss a fault, prepare a work package, or review a change from another office.
Location design needs to be checked against the real room rather than copied from a diagram that may already be out of date. Walk the physical environment, confirm access points and labels, record exceptions, and decide how temporary or legacy equipment will be represented. When an asset has a physical identifier, its record should be linked to the agreed location structure. RFID-supported identification can assist with repeatable verification, but the tag must be associated with a record that has a known place in the hierarchy.
Connect change work to the data model
Every common room activity should have an agreed record-change path. Before a planned move, addition, or repair begins, the technician needs enough information to identify the correct location and asset. During the task, the workflow should capture the necessary evidence and record the status change. After completion, a defined reviewer or operational role should confirm that the update is suitable for handover. The level of approval should match the risk and scale of the change, but it must be clear who owns the final state of the record.

Field users should follow a clear sequence: confirm the asset, confirm the location, capture the required attributes, identify any exception, and submit the record for review. Data capture should also account for the exceptions that are common in established infrastructure.
